Once Shortlist is activated, a Shortlist button will appear in your JobTeaser back-office.
If you are about to create your first Shortlist, a message will appear explaining how Shortlist works, with a link to the Help Center articles.
Then, a dashboard appears, showing you completed Shortlists if you have already made some, or enabling you to create a new Shortlist.
To do this, click on 'Create a shortlist'.
Next, select the job ad you would like to use Shortlist for. You can choose either:
- A job ad already published. In this case, you can select it by clicking on the dedicated button.
- A new job ad. In this case, click on 'Create a new job ad'.
You must then make a selection of criteria to create your shortlist.
Select the list of schools and universities you are interested in. You can either choose the schools and universities from the Schools and universities list you have previously created. Alternatively, you can choose to create or edit a schools and universities list.
Then, select the graduation year(s) for the type of candidate you are looking for.
Select the languages to be spoken by the shortlisted candidates. You can type the languages directly into the search bar or select the languages that appear in the drop-down menu.
Next, enter the desired mobility. This filter corresponds to the geographical area in which candidates would be willing to go for their next job opportunity. By default, only the country of the job ad is indicated. However, you can add cities by typing their name in the search bar.
Then, indicate the keywords that should appear in the candidates' profiles. You will see some suggestions, taking into account the keywords present in your job ad. You can of course add keywords that are not suggested by typing directly into the search bar.
You can further refine your search by using the Boolean operators AND, OR and NOT to indicate that you are looking for one criterion AND this other, or this criterion OR this other, or one criterion but NOT this other.
The help icon to the right of the search bar will help you understand how to use the keyword filter properly.

You can delete the filters you have chosen at any time.
Note that you don't have to fill in all the filters available. They are simply useful to refine your search, but they are not mandatory.
Once you have chosen your criteria, you will see a list of the 20 most relevant candidates for your job ad according to the criteria entered in the job ad's title and description and in your shortlist.
You have the option of loading 20 additional candidates into the list. This action can be repeated up to a limit of 100 profiles displayed.
Then, select the candidates you want to contact by ticking the boxes on the left of the list. A summary of the number of candidates selected for this Shortlist will appear at the bottom of your screen. Please note that you can select up to 20 candidates, regardless of the number of profiles loaded.
If one of the candidates proposed does not seem relevant to your job ad, you can decide not to display it anymore. Simply click on the three dots in front of their name. The candidate will no longer appear in all future shortlists for this job ad and a new candidate will be proposed.
Note that at this stage you do not yet have the possibility of consulting the CVs of shortlisted profiles. Shortlist is a matching tool designed to save time for both the recruiter and the candidate. Key information on the shortlisted profiles is available to you while you wait for your job ad to be selected on the candidate side.
Once you have made your selection, click on 'Validate the selection and continue'. A message will then appear summarizing the process you are involved in and the steps that will follow the submission of the shortlist. You will also be able to see an example of the email sent to applicants.
Click on 'Send your Shortlist' to contact the selected candidates or on 'Edit the selection' to make changes to your shortlist.
If you decide to send the shortlist, a message will confirm the action you have just taken. You can then decide to create another shortlist or to see the dashboard of all your shortlists.
Selected candidates will then receive a message in their personal space on their Career Center. An email like the example below will also be sent to them:
Candidates will then have 72 hours to confirm their interest in the job ad.
A reminder email will be sent to candidates 24 hours before the end of this delay. If a shortlisted candidate does not reply, they will be considered as “not interested” for job opportunities.
